Introductionmc5ad965e6a0d2087_1528450127855_0Introduction

After designing and creating a text document, you can print it. There are many options available in a text editor that enable to optimise printing.

The teacher discusses with the students the initial operations which must be performed before printing a document:

- selecting a printerprinterprinter,
- selecting the document elements for printing,
- adding the elements of the document which will appear on the printout,
- setting the printing parameters.

Connecting to a selected printer:

After selecting the Print option (File > Print or by using the keyboard shortcut CTRL + P), on one of the drop‑down lists you will find all printers which are currently available in the system. Select the printer you want to connect to. If it is not listed, you need to install it in your system.

Print Preview:

Print Previewprint previewPrint Preview is an option that enables you tosee on the screen a preview of how your document will appear on the printout. The preview is displayed in black‑and‑white until you select a colour printer. The Next Page and Previous Page buttons are available only when your document spans more than one printed page. In such a case you can preview a specific page by typing its number.

On your computer, check the available printers and find out if all the above print settingsprint settingsprint settings are also available.

Additional printing options:

- one‑sided/duplex printingduplex printingduplex printing,
- sorting the printouts,
- printing the multiple pages of a document on a single sheet of paper,
- document scalingdocument scalingdocument scaling.

A document created in a text editor can be scaled. Scaling sometimes enables fitting paper size to page size.

Printing to a file:

If you do not want to share an entire document but only its part, you can send a file containing the printout of the document. The printout will be prepared for a specific printer (installed in the system) and when the file is printed on a different printer, the page breaks and font spacing may change. Such a printout cannot be modified. The printout file will have the extension PRN and as usual will be saved in your Documents folder.mc5ad965e6a0d2087_1527752256679_0If you do not want to share an entire document but only its part, you can send a file containing the printout of the document. Printing a document to the PDF format:

Printing to PDF is an option which is worth using in programmes which do not offer the feature of saving documents in the PDF format.

The PDF format is useful when you want to achieve:

- the same appearance of a document on most computers,
- smaller file size,
- files intended only for reading and printing (not for editing),
- files intended for commercial printing.

Task 2

Practice another methods of printing:

- Printing a text document directly from a folder. Open the folder including the file to be printed. Right‑click the file and select the Print option.
- Create a desktop shortcut for a printerprinterprinter. Drag and drop the file you want to print onto the icon of the printer. You can also drag and drop the file onto the icon of the printer located in the Printers folder.

Before printing, you can check your document in Print Preview. If it does not meet your expectations, return to its edition. You do not have to print the entire document. You can only print its parts or selected pages. Always consider if printing is necessary. If it is possible, print on both sides of the paper.
